REPORTS TO: Operations Manager or Executive Director
HOURS:
Part time, hourly
FUNCTION:
Under the Supervision of the Operations Manager, the office assistant will greet customer, answer phones, enter data, file, handle money and assist kennel techs with dog showings.
RESPONSIBILITIES:
Office Assistant:
1.Implements consistently high standards of respectful and knowledgeable treatment to Customers, staff, volunteers and animals.
2. Follows developed protocols for adoptions, phone calls, cash handling.
3. Communicate effectively and respectfully to customers who are angry or grieving.
Customer Care:
1. Serves as a representative of RHHS to customers and assesses customer needs.
2. Serves as a team member of the staff by providing excellent service to customers.
3. Develops and implements new office procedures and ensures their integration into the daily operations of the adoption and animal care centers.
4. Shows customer dogs and/or cats if needed. Describe animal’s basic information and traits, choosing appropriate animal for them based on activity level, strength, age, etc.
5. Monitors/observes people upon introduction with animal to see chemistry/bond.
6. Properly introduces RHHS animals with customers’ animals to see verify safety and acceptance.
7. Assisting volunteers in any way deemed necessary.
8.Works with leadership to determine needed efficiencies and implements needed changes.
Operational:
1.Follows Open and Closing protocols.
2. Works diligently to ensure that all customers whether on the phone or in the office are treated with dignity and respect.
3. Provides consistent care for all animals, and ensures volunteers and team members do the same.
4. Working with supervisors prepares charts/records for off-site events.
5. Follows all safety guidelines to ensure a safe work environment. Takes immediate action to address any safety concern or noncompliance of safety rules that could put an employee, volunteer, client, animal, or the organization at risk.
Other Responsibilities:
1.Assures the safety of the RHHS workplace and actively monitors safety for staff, clients, and animals. Follows safety guidelines to ensure a safe work environment.
2. Complies with RHHS personnel policies.
3. Functions as a member of RHHS team and attends appropriate staff meetings
4. Represents the RHHS in a professional and courteous manner at all times.
5. Provides quality service to customers, volunteers, donors, and staff recognizing their individual contribution to the success of our organization.
POSITION REQUIREMENTS:
High school diploma or equivalent. Valid Colorado Drivers License. 18 years of age.
Desired Experience:
1.At least 2 years delivering excellent customer service in a fast-paced environment.
2. At least 1 year general office work preferred.

1. Must be available to work when and where needed by the organization. Must be willing to work irregular hours, weekends, and holidays.
2. Requires working alone or with minimal supervision. Must be self-motivated.
3. Requires working under pressure with public audience.
4. Requires patience and tact when working with difficult, emotional, or angry people.
5. Requires sitting at a desk for periods of up to four hours without break when working on written reports or meetings.
6. Requires computer proficiency in word processing, spreadsheets, email, and shelter software.
7. Requires ability to assess needs of constituencies and assign and supervise staff to meet those needs.
8. Requires handling people and animals in a pleasant, courteous and professional manner.
9. Requires ability to work safely around unruly, vicious, sick, injured or dangerous animals.
10. While performing this job the employee will regularly be required to use hands and arms to reach, grasp, and hold animals, supplies and other tools; to talk and speak clearly to clients and co-workers; and to hear questions and animals.
11. This job requires working around and with chemical compounds (i.e., bleach, detergents, and disinfectants) used to clean and disinfect kennels, cages, and other surfaces.
12. Requires the ability to work in an office environment with generally moderate, but occasionally loud, noise levels.
13. While working with shelter animals there is a risk of exposure to parasites and infectious diseases.
14.Allergic conditions, which would be aggravated when handling or working with animals or cleaning supplies, may be a disqualification.
